Business Writing Training: Business Writing Course - How to Write a Thank You Note to Your Boss

You are in business. You are an employee. You have a Boss and you want to say thank you to him/her in writing. How best to do it? What does an appropriate thank you note to a Boss look like? How best to be professional but not detached, warm but not too sentimental. You don't want him / her to think you silly, overly familiar, or, forbid, that you intend anything other than a sincere thank you. Having and maintaining a pleasant hassle-free work environment is important. How much time, thought and care should go into your thank you note? Do you e-mail it or hand write it on paper? If you decide on an email avoid the electronic stationary templates, save those for friends and family.

Thank You Notes In General

Most everyone likes to receive thank you notes. Life in general, business and personal, would be more pleasant, more gentle, more creative and productive if more people wrote more thank you notes, actually for many of us, if we wrote even one. It is kind of like smiling, it is infectious. We smile when thinking of the kindness we received, smile when we write the note, smile when we drop it in the mail or on the person's desk, smile when we walk away and then the person smiles when they see it, smile as they open it, smile as they read it. Both smile as each remembers the kindnesses expressed from the start all the way through and so there is no end. It is the wee small card with a few inked words that takes the original kindness and breathes life into it. Sooo, breathe life with your thank you notes.

Why Write A Thank You Note?

While we are thankful for our pay checks we do not often write a thank you note but we might if we appreciate a generous bonus for which we were not expecting. We do not often think to write a thank you note for an appropriate work station but we might if we received tools that were above and beyond what were necessary for us to perform our jobs and that now made our work-a-day world simply more pleasant. While we expect to receive training necessary for us to perform our jobs we might be prompted to say thank you in writing when that training is provided in ways that help us grow personally and professionally. When others do what is their responsibility in ways and at times that exceed the standards required and we, or others, benefit it is important to be thankful and to say thank you in concrete ways. We, all of us, will continue to do more and do with greater attention and more lovely attitudes when we give and receive thank you notes. Not only now, but especially now, the workplace would benefit greatly from more expressed kindness and thankfulness

What Do I Write? (No Writer's Block In Thank You Notes)

The absolute best way to say thank you in a note to someone is to write "thank you [their name]" Whatever you write in addition to this make sure you write those words - remember to use their name and as is appropriate in the relationship. Take a minute and write down what your Boss did that you are thankful for. How was it helpful to you personally and how will this benefit you in your job, your contributing to the company. Write this in one or two short sentences - no more. Remember that this is a thank you in a professional environment. Use words and tone that reflect the company culture and usual standard of communication. Mushy sentimental thoughts and feelings are not professional rather to be saved for really close personal relationships. Two good questions to ask yourself are: Could this note, as it is written, be given to another Boss in the company? Would it be good with my co-workers reading this note? Would I or my Boss ever have reason to be embarrassed by this note? No reason to over think this - a good dollup of common sense will provide what is needed to ensure you end with a wonderful thank you note.

What Kind Of Card?

Thank You cards are commercially available with "Thank You" written on the front in a variety of fonts and borders. These are great because you can choose a font and border that suits a business environment while leaving the inside blank and for you write your own thoughts. Pre-written and printed thank you cards are, in this Writer's opinion, more than inappropriate. Your words say best what you want to say and it means more to the recipient as well.

Should I Write It By Hand?

Yes, handwritten notes are more personal and in business they communicate that this is important to you and that you are taking the time and putting in the effort to put it in pen and ink. Handwriting does tell a lot about us - so mean what you say, pay attention when writing so you are happy with your penmanship. Thank You note writing is not a task that can be done well while being distracted - lay aside the urge to answer the phone, answer a question, etc - multi tasking is hugely overrated. An option you can find are pre-printed thank you notes. These are, in this Writer's opinion, more than inappropriate. You may find it necessary or more appropriate to type your own words and print them onto a card. If the writer requires the use of a computer, recipient needs large font or even Braille is what is written and read then, of course these are made use of. The thing of primary importance is that the writer communicate their thanks to the one who extended the kindness.

In Conclusion

Write thank you notes. Formal or informal Business thank you notes. Personal thank you notes. You will look and find more things to be thankful for. You will do more things for others for which you will be more thankful for. You will look and see more often others doing kind things. You will look and see others writing thank you notes. You will even receive a thank you note or two. Everyone, everywhere, everything will be lifted and we will all benefit in ways we cannot imagine - all from the lowly common thank you note.
